Office Notes April 2016

Dr. C:
Good Morning! We are all working for a common goal, as a team, to give patients the best possible experience. All departments help each other to provide a better product.

Half into ICD10 – make sure you are in the right category for accuracy. Will be more strict in the next 6 months.

When scribing let the doctor know when patient is diabetic to send letter. Send to referring primary care doctor for sure. Need to help those doctors out so they get paid.

When patients call at end of day or Saturday – ask the doctor if they need to be seen. NEVER, NEVER, EVER send patient to emergency room for an eye problem. Ask the doctor what to do.

Received and read nice letter from retired military patient on his appreciation of Lisa Fargason’s care and patience when he was in optical. Good job Lisa!

Check out the app GoodRx. Tells the cheapest prices on meds and you can print coupons.

Payouts:
Dr. R. Carlin: Lasik – Mandy; Bleph – Tiffany

Dr. D. Carlin: Bleph – Ashli E.

Dr. DeRosa: Belph – Ashli E.

Dr. Roensch: Bleph – Trisha

Dr. Willman: Bleph – Lauren Y.

Amy:
Coventry One HMO – still waiting on some issues, all physicians but Dr. Willman, are showing active. Laura needs to have a conversation regarding this

In regards to our February computer issues, we are adding more security software and locking down more sites, especially social media sites. Let Amy know if a site you need is blocked. Medical sites are the next big thing for breaches.

HIPAA – please don’t take picture (SnapChat) out in the patient area to avoid violating HIPAA regulations.

PTO – a bit behind with Lauren out. If 2 employees are scheduled off in your department, choose another time. You can schedule 4 months in advance but be mindful of hours left before requesting time off.

Front desk is hurting for staff. If you know of someone who would be good have them send a resume to Amy. Unfortunately, no family members.

Dr. David Carin, Dr. Thornhill, Dr. Roensch: No comment

Lasik:
Plant the seed and get Diana if a patient is interested in Lasik.

Cataracts:
Doing great. Techs ask doctor if they are a premium candidate, LenSx, etc. to let surgical counselors know. Will be getting sticky notes printed to put on chart.

Oculoplastics:
Doing good. VIP special $500 off cosmetic bleph runs thru end of April which includes VIP benefits – discounts off Lasik, Botox, Latisse & designer sunglasses.

Optical:
Have a new employee starting Monday, the 4th. Her name is Ashley (not sure of spelling).

Contacts:
Per Amy have patients stop by Pod before taking them to fit room in case it is in use.

Mandy:
If patient needs help with drug assistance, get Lottie.

Lottie:
Some pharmacies won’t let you opt out of using your insurance for prescriptions if you want to self pay. It should be allowed. Tell patient to try another pharmacy.

Marketing:
Working on new promotions for all departments.

PET: OK

Kristen:
Surgery on Monday, Tuesday (every other) & Wednesday. Dr. Willman is now on every other Tuesday schedule.
