Implemented PET (patient experience team). Mission: to make the patient experience stellar, greet patients & help in anyway; facilitate waiting time; improve patient experience.

Sat/evening appts. – convenience for patients, reserve for patients that need it. Not functioning at full capacity with limit testing, etc. Ask patients to come back during the week if possible. Make them feel like they are getting full care.

Diabetics – referring doctors not getting referral letters. Please make sure they are done. If you receive phone call from the doctor, get the letter done & sent.

Coventry One insurance – Been some confusion as to whether we are on it. Working on it – doctors on plan but Group #s not. Will get clarification – if patient calls get Amy to help.

Reviews – read some nice reviews from patients regarding their experience.

There is a sign in sheet at every meeting. Everyone please sign in.

PTO- as of March 31 you are only allowed to have 80 hours in your bank, any hours over that will go away and you will lose them.

There was an issue at the end of December; everyone accrued an extra pay period amount of hours. This will be corrected as of next pay period. Please keep an eye on your PTO.

There are chairs outside of the employee bathrooms: they are free to a good home, please take them today! There are 2 monitors as well that are open to anyone who wants them.

If you move, change your name or change any of your deductions you must see Amy and fill out a form with this information.

Compulink Version 11 schedule templates are changing, as we add or change doctors schedules they will look different. There will no longer be different colors for different types of appointments. Dr. T’s schedule will change Feb. 28. There will be new abbreviations:

The next office meeting will be March 11- This will be the second Friday in March.

As you may have heard we have a new concierge’s team which we are going to call the patient experience team. This team is made up of Ashley M, Hannah K, Alex and Jessica. They helping facilitate check in and also helping with patient flow. We will begin using the kiosks again but we will just call them check in. We are open to any feedback on how to make this work/run better. No practices have this, which will set us apart. This will begin Tuesday morning.

Optical- to techs/docs please double check add powers, also that the expiration date is correct and also the axis is correct, places have been calling asking about the 180.

When calling in: Techs call Heather between 7:00-7:30 AM, Others call Amy between 7:00-7:30 AM,

Also all call the office at 8:00AM.

John:

Marketing will be hosting social media contests – the first will be the luck of the likes- If you are wearing green take a selfie in optical wearing a cute pair of frames, we will post on social media for our followers to like. We encourage everyone to participate, Nothing wild please.
