Office Notes November 2021

Dr. C:  Welcome Brianna & Danielle (techs), Nadia moved to front desk from concierge. Mackenzie (tech) & Karishma (front desk) start tomorrow. Still looking for more staff and administrative assistant for Amy.  $300 if you get someone in to work here.

Ophthalmic Professional Week – thank you all, you are very important in helping patients with their vision. Blindness if one of the things people worry about most.

For new employees – end of year is very hectic, patients want in.

Make every effort to accommodate patients. Insurance may be running out, need glasses or contacts. We may start earlier in the day during this time.

Thank you to back office for helping in morning with check in & checkout, and right after lunch. Appreciate you pitching in.

COVID down a bit, will loosen some restrictions. No more taking temperatures including staff. If not feeling well call the office. Opening breakroom on limited basis – tables with 4 chairs only. Wear mask when not eating.

Dr. David Carlin, Dr. Willman & Dr. Thornhill will work ½ day Nov. 26th from 9-12.

To recognize hard work we will be closed Christmas Eve, Dec. 24th.

News Year’s Eve hours Dec. 31st are 8-12.

Folder for medical/dental in mail bins. Fill out and put in folder on Amy’s door by Nov. 17th even if not participating. Office pays ½ your premium which stayed relatively the same. In December will talk about enrollment in 401K. You may want to retire someday!

Per IT John there has been an uptick in spam emails. DO NOT click on any links – delete email.

Thanksgiving lunch Nov. 16th. Need help with setup. Caterer will dish out food. Spread out around office, keep masks on when not eating.

Christmas Décor contest – $10 allowance for decor. Mille created teams. Start on Dec. 1st. Donna will take pics and put on social so patients can vote.

Secret Santa – sign up with Vanessa if you want to participate.

Cataracts:   Thank you techs for helping with testing.

Oculo:  Special buy 1 lid get 1 lid ½ off continues thru December.

Lasik:  Special thanks to Alex for scribing, telemed & extra help around. New docs/staff send us prospective patients. Reached 10,000 patients this month!

Optical:  Very busy. Buy 1 get 1 ½ off special doing well. Educate patient in exam room about lenses, etc.

Dry Eye:  Send for us if there are LipiFlow questions.

Special Meeting November 2021

Dr. C:  This meeting is of some urgency. Will welcome your questions & comments.

Entering a stressful time of year. Not the only practice going through this – staff shortages, job switching, etc. We are a private practice not corporate.

I hear & Amy hears this and we understand what you’re going through.

Private equity practices – buy practices to make profit then sell.

If not feeling well stay home but please try to come in if possible.

Plans:

  1. More staff, if you refer a friend who works for a month you will get $300.
  2. New hires will get a raise at 3 months.
  3. New hires will get initial training to work up patients and trained over longer period of time.
  4. Back office will help with check in & check out.
  5. Jessica will help techs in the back.
  6. Alex will help Dr. C with scribing.
  7. Nadia will help out front desk.
  8. Cut back on screening protocol – no temperature check or health questions. Just ask if they have had or been exposed to COVID.
  9. Come February all staff will be provided $300 hazard bonus to recognize what you’re going though and significant raise.
  10. Docs cut back on testing when necessary.
  11. Adjusting schedule so staff can get out on time for lunch/end of day.

Personally want you all to know we understand and will do all we can to reduce stress. Appreciate all your hard work – just hang in there with me!

Staff/Doc input:

Michele – What about an HR person to handle employee issues? Will address after 1st of year.

Dr. DC – Cancelled stuff because of COVID, family feel has gone to background, not much  interaction as there was pre-COVID. Hopefully will get this back soon.

Alex – Think about Christmas Eve off? Docs are scheduled for that ½ day.

Amy – Thanksgiving Feast will be on Nov. 16th.

Dr. Floyd – Nice working with you all and for a private practice.
