November Meeting Notes

Dr. Richard Carlin: When the practice first started we only saw 39 patients and had one exam room. As we started to grow, the surgery center opened and we started adding doctors. Eventually it grew to what it is now – CarlinVision. Our mission has never been about money. Our mission at CarlinVision is to care for people. I am very thankful for Amy, for the staff, and for all of you that continue to support our mission and care for our patients. Thank you everyone.

Lets continue to increase efficiency. Check in: remember that patients can continue filling out paperwork after they are called back. Techs: testing before seeing the doctor. Check out: check the routing slips to make sure follow ups are booked with the correct doctor. Surgeries: fill cancellation spots and keep waiting lists. Optical: acknowledge patients. Please pick up things in the patient bathrooms and keep them tidy.

We have a new virtual visual field machine. We will train everyone to use it.

Amy: Thank you everyone for helping to organize and take care of the Thanksgiving luncheon.

Health enrollment applications have been sent so hopefully we will receive cards by December 1st.

UnitedHealthcare Motion program is designed to help motivate plan participants to stay active. It is the ability to earn gift cards by having an activity (fitness) tracker. See the breakroom for details.

This is the last training of 2023! We will have a longer office meeting on December 20th and have breakfast catered.

Please do not leave charts on the surgical counselors door without letting them know.

We are going to adopt 4 children for the Angel Tree program this year. Donations will go to Marlyn, as she will be taking care of the shopping this year.

Maddie: It is time for the annual Christmas tree contest. Details and teams will be posted in the breakroom today. We are also going to decorate the office on November 28th – there will be a sign up sheet in the breakroom if you’d like to help.

Lasik: Technicians, please let Alex or Diana know when there is an interested patient so they can talk to them. Check alerts in the system.

Oculoplastics: Please come get me so I can talk to interested patients. Please double check with the physician to double check what surgery they are getting.

Cataracts: Make sure the sticky note matches the plan.

October Meeting Notes

Dr. Richard Carlin – Keep it neat in the pods and waiting rooms. Keep an eye out for the furniture.

Be ready to start seeing seeing patients at 8:00am and 1:00pm.

Push December follow ups to January to free up more slots.

We will possibly discuss more hours towards the end of the year.

MIPS: Checking medical records to make sure everything is done correctly. We get penalized if we don’t fill in the correct information.

For Glaucoma, it has to mention the optic nerve and can’t only state “normal.”

Dry Eye: Dr. Bennett-Sims states to make sure we’re collecting lipiflow payment before putting up the chart. Keep the exam rooms neat and make sure the screen is clear of any tests that are not that current patients. Be sure that a full dry eye eval is scheduled in the proper appointment slot (not a FU!). Make sure techs are communicating well when pod sharing.

Amy: make sure the slideshow is playing when the techs leave the exam room so they can view our specials and be entertained while waiting.

Remove the “optout” email address in the demographic and get the patients updated email address.

Front desk please make sure the patients are signing the refraction letter and we are explaining it to them. Refraction letters are only good for 90 days. Expire old alerts. If transportation is bringing a patient, make sure someone stays with them if they seem unable to take care of themselves during the visit. Transportation must not leave them, they can either stay with the patient or wait on a family member/friend that can be with the patient. Make sure we are giving the correct paperwork/forms/letters to the patient.

Schedulers, testing needs to be between 8:00-10:00am or 1:00-3:00pm.

On Halloween schedules have been blocked at the 4:00pm hour so we can go home at an appropriate time.

Thanksgiving luncheon is on November 8th.

I will be on vacation on Friday 10/27 and will be doing payroll that evening. I need everyone’s timesheets on 10/26 Thursday at 4:00pm. If there is a mistake with your timesheet, it needs to be fixed and sent to me by your direct supervisor by 7:00pm Friday.

Lasik: Please scan in drivers license for patients. It is needed for care credit and to identify a new patient. Make sure we are asking about free evaluations. The contest is still going on and going well.

Contacts: Everything is good.

Cataracts: Everything is good. Thank you to the testing techs.

Optical: When a patient is checking in, please let them know to browse the boutique before their appointment. That way we can hold frames aside and finish after their appt. It’s easier for patient since they will be dilated. Patients that are being referred to Nanston vision are not having a good experience. We offer a discount plan for Medicaid patients.

Bleph: Make sure when you refer (bleph or lasik) you enter the referral source since we are now able to track it through compulink and contact the patient as needed. Also make sure there is a ToDo. (Amy: If patient is here, get Diana or Allie to talk to the patient while they’re in the office). A bleph referral is good for two years.

Retina: Make sure you’re adding a ToDo for patients that you schedule on 014 schedule so Retina techs can obtain records if needed and adjust notes accordingly.

OSHA: Blood borne pathogens are diseases spread by blood/bodily fluids. Some we may have to worry about: hepatitis, malaria, syphilis, ebola, AIDS. We can prevent hepatitis by a series vaccination. We are entitled to free vaccinations within 10 days of working here. We strongly encourage techs to get them.

Be sure to wear gloves when dealing with blood and wash your hands afterwards. If you think you were exposed or were exposed by a needle stick, let Amy or Dr. Richard know immediately. You need to be tested so that we can rule out any possible disease. Ask the patient if they wouldn’t mind being tested as well.

Be sure you are disposing needles in the biohazard bins appropriately. Do not fill above the maximum fill line. NEVER stick your hand in the biohazard bins. Do not eat or drink in the surgery room. Be sure to take your gloves off when leaving the surgery room. Yellow bin is for the retina team due to chemo drugs.

Black dots on the chart: HIV+

Not all patients who are HIV+ have a black dot on their chart. Patients do not have to disclose this information. Always take precautions.
