Amy – There are sign in sheets at all trainings and office meetings. Make sure you are signing in.

We want CarlinVision to be a safe place to work. No one should experience sexual harassments or be uncomfortable due to religion or politics. Please contact your supervisor immediately if there is an issue.

If a patient needs to see Dr. Modi and another physician, please schedule on two different dates. Insurance will only pay one claim per Tax ID per day.

When scheduling appointments, make sure to pay attention to all the patient’s symptoms and complaints. There has been an increase of routine appointments that should be medical. We can fix this by listening to patient needs.

Working on increasing optical exposure. If a patients is interested in glasses, walk them over to Optical and sign them in. Optical turnaround time is 1 week – better than most competitors.

Pods should always have slide show running. Please turn it on if it is not already. Exam rooms should have slide show playing when techs or doctors are not working with patient.

Watch volume of conversations. Phones pick up all background conversations in pods and back office. Patients can hear conversation in lobby and pod areas.

Thank you to everyone adjusting to reviews this year. I enjoyed receiving everyone’s feedback. If reviews stay on schedule, increases should be in effect for June 28th paychecks.

Dr. Willman – I want to give a shout out to the contact lens department. A patient came in with concerns and very little hope for one of her eyes. Contact lens department comforted her and gave her the appearance she wanted.

Optical – Optical no longer has a concierge. Thank you for those helping sign in patients. Please do not put your initials in the Optician box.

Lasik – Summer special coming soon $1000 off Lasik – launching Monday.

Maddie – New hiring post is up. Please share if you have not already.

April Meeting Notes

Dr. Richard Carlin – Welcome Claire! During Covid, we saw a decline in patients. We are starting to see an increase again. Current issues are decreased reimbursements and influx of corporate medicine. CarlinVision will remain a “home town touch” practice.

Please schedule patients with the appropriate doctors. Follow ups should be scheduled with initial doctor, unless doctor has OK’d patient to see someone else. Please stick to templates.

Positive changes in the optical Boutique. Lower prices and shorter turnaround times.

When filing vision insurance, please have routine diagnosis first, followed by medical diagnosis. Katie will give list of acceptable medical diagnosis to check out. Medical diagnosis should be in the chart and routine sheet.

Billing – When patients change address, it needs to be updated in the account responsible. A lot of mail is getting returned for incorrect addresses.

Retina – If a patients needs treatment asap, please grab a retina tech. We want to keep our patients here.
