Office Notes – February 2018

Dr. RC:
Welcome new front office employee Lisa.

Dr. DeRosa’s wife Mondra passed away January 31st at 10: 29 am.  She developed an infection in her artificial hip. It was fungal and the plan was to clean it out last Monday and remove the hip. The infection spread to her brain and caused her become unresponsive. She was on life support for a while and they turned it off. There will be no funeral. They may have a memorial later this summer. She gifted her body to Emory. Do not send flowers but if you want to donate in her name send to The Match or The Leukemia Society. They were married 38 years and she would have turned 65 on Sunday. Dr. DeRosa will be back next Thursday. He does not want us to notify patients, he will tell them himself. Brigit send a letter which will be posted in the break room.

Today is Groundhog Day and he saw his shadow so six more weeks of winter.

We have all suffered through Compulink issues and handled it well. Thank You.

Getting a lot of calls and seeing a lot of new pts because their doctor can’t see them sooner than we can. Remember we exist because of our patients. Please do everything you can to take care of them. Make them happy and do what’s in their best interest. That’s the key to this practice!

One thing we ALL need to work at is keeping the office clean and neat. When you leave the bathroom please look and make sure everything is full and there is not stuff on the floor. If you see trash anywhere in the office, please clean it up.

Kellen had her baby Scarlett Rose on February 1st, 7 lbs., 20”. Hannah had her appendix out and Shelly had kidney surgery on January 29th.

Pet peeve – Do not like the word clinic, we don’t work in a clinic, sounds too much like Grady or a mass production factory of medicine. Our goal is to rail against that type of medicine. -We are not hearding people through our office.

IT is scheduled to come 1st and 3rd Tuesday if you have an issue that is not urgent please add to the list in Donna’s office.

On cabinet in Amy’s office is a list of repairs. Please continue to add to it.

Lunch time- our goal is to make sure everyone gets an hour for lunch and use it for that purpose. Don’t bring food to your work station afterwards.

Last month we talked about getting a new phone system. There has been a delay and we hope they will be live by the end of February.

Compulink is supposed to be working correctly now. Let Amy know if you still have issues.

We will do reviews in February.

Reminder – wear your name tags and counselors wear your white jackets.

Diana – Lasik Special of $2018 per eye for one day only Feb. 22nd but extended through March 8th.
Cataracts – Scribes please put in the plan if the patient is a standard lens only. Also at check-in get all correct information and update the information with correct.
Optical – Thanks for the window tint.
Kathy – The front is doing well and she appreciates all the hard work.
Scott – Taste of CarlinVision on Feb. 21st. Please sign up and bring a favorite dish with recipe.
John – For Valentine’s Day we will have a baby grand piano in waiting room with special snacks and décor.
Lottie – Scribes, if doctor prescribes Restasis or Xiidra schrimer, get a schrimer test on same day. If continued care, test can be 6 months old.
Megan H – When taking out sutures don’t just throw equipment in bucket after use because they can get bent. Set down gently and wash.

Dr. C:  Happy New Year
Welcome new employees Nicole (front desk) and Morgan (technician).

With a new year it brings new beginnings – time to step back and see what we can do better this year.

New Year brings new deductibles. Make sure you are collecting them.

State of the Practice: How we did last year!
We had a good year. Saw approx. 45,000 patients in 2017, more than we have ever seen before. Revenues were up and so did expenses. Profits were up a little. Cataracts, Lasik and Optical were same as last year. Oculoplastics was down. Contact lenses were up 11% – they were our bright spot!

Practice overall is doing well. Getting a lot of positive feedback and good reviews. Please keep up the good work – we appreciate it.

We will be doing some sprucing up of the office internally and externally. Some carpet needs to be replaced and redoing some of the work from the flood. If you notice things that need to be fixed please let Amy know as she is keeping a list. Been about 10 years already so we need to get this place cleaned and fixed up.

Kiosks are going away as well as the software.

Goal this year is to increase refractive department. Alex has been promoted to Assistant Vision Correction Facilitator. When people are interested in refractive procedures they do not have to have a CEX before they have their procedure.

Employee purchase policy: Optical – 50% off for spouse, children under 21, and parents, Contacts – immediate family at cost and extended family 20% off. If using benefits you must pay immediately and in Optical we only hold frames for a week. Optical pays a shipping charge on things ordered, so if you change your mind please be aware of that.

Amy: New things we are doing this year – rolled out a new text, email, and voice reminder/recall platform Solutionreach. Patients can text back so Ale’ and Karen can respond. There will be some trial and error as we get started.

New phone system implemented beginning of Feb. Phone calls will be put in a que and no longer ring non-stop.

Donna (DJ) has a list on her desk for IT issues that are not urgent. Ask her if you don’t know how to explain it. IT comes twice a month.

Coffee and bathroom duty – please do your assigned duties, check the list in the breakroom. If ANY staff sees something that needs to be filled, cleaned or replaced, please help out.

The breakroom is a wreck after lunch time. Pick your stuff up and throw it away. It is YOUR responsibly to keep it clean. Take your lunch boxes out of fridge daily so Karen doesn’t have to throw out old food.

We’ve noticed there are some questions on how to fax. Directions are posted above and on the machine. Use a cover sheet and put your name on it so we know who confirmation goes to.

With the beginning of the year payroll takes everyone’s PTO away. We have to go back in and correct it. It will be correct on next paycheck. Check your paystub and make sure everything is correct. Also go to socialsecurity.gov and check your earnings.

If you lost your key to building please see Amy.

We changed the process on checking the patients in. We only use A.

Clock in at your own work station, not at Nancy or Robin’s desk.

Sign in for every office meeting at front desk so Amy knows who attended.

Diana:  excited for upcoming year.

Chelsie:  Any techs doing testing please input information carefully. Schedulers change to CAT EVAL.

Hannah: Get Hannah to talk about Dry Eye if doctor oks. Per Dr. C there is now a dry eye drop treatment where we use patient’s blood to make customized drops. It has been an issue to get it done but now the GA eye bank is partnering with some labs. The rep will be here at noon today if anyone is interested.
