Office Notes – April 2018

Dr. C:
Good morning! Sorry the doctors meeting ran over and we are starting late.

Welcome technician Kristine.

He built this practice on being nice to people with a home time touch, welcoming everyone in a family like atmosphere. They get a smile when checking in. Make it the best experience for the patients and always be accommodating.

We are the largest and most successful practice in the area. He is very appreciative.

We have had 2 not acceptable situations this month. Had a patient come in who had a surgery schedule on a Monday and it had to be rescheduled, mistakenly with another doctor. Another came in on Saturday and was yelling doors weren’t open at 8:00. There appointment was actually on Friday.

Your job is not to be abused by patients. If a patient starts yelling or being abusive or otherwise making you uncomfortable, get Amy or the doctor and they will take care of it for you.

We will see kids, newborns and up, and we will see anyone for any reason.

Please be careful when doing follow ups and make sure they are with the correct doctor. If a patient had surgery and they happen to be seen by another doctor for follow up because they weren’t there, they need to go back to the surgery doctor.

Please be careful talking in pods/front desk/optical when there are patients in rooms/waiting areas. Conversations can be heard.

Been having an issue with the Botox coding and we are going to talk about it next time.

We will be renovating the surgery center’s facade to look more like this office. We are waiting for the lawsuit to finish on the carpet and then we will be refreshing this office.

We do inlays for people who do not want to wear reading classes. Those patients have to be on the brand name meds, no generics.

Need Lasik patients in May. Techs please bring it up to patients and do a pentacam while dilating. Put sticky note on the chart when patients want a Lasik eval.

Payouts will be done in July.

Dr.BS: Dry eye is doing well but also need some new patients.

Dr.T: Make sure follow up is going to original doctor. Patients that come in for a CL issue please let contacts schedule appointment with him.

Amy: Today we are going to start something new. We are going to separate Patient Info and Med History forms into 2 separate sheets. Please take from patient and scan it.

Medicare is changing their cards. We should see them in June for Georgia. Start asking in May.

IT issues – if you see anything that is working incorrectly, please let John, Donna, or Amy know.

May 3rd we are having the Tex’s Taco truck which will be serving from 11:45 to 1:15.

Techs – just switched to using an orange highlighter for routing sheet. Please only use orange, no other colors or pens.

MRI and CT scans – please make sure the order is scanned in the chart and give it to Lottie.

Remember to call patients to back with Mr or Mrs and look at the photo id.

Employee perks – cost for procedure is listed on the CarlinVision intranet. You must pay at time of service for anything. Botox is $6 a unit.

Cataracts: Please make sure you put the meds in the tab. Make sure when scheduling a patient for testing when we have for late night or Saturday for testing

Optical: (Michele) Check in and check out it is really loud in the evening hours. Please watch and be professional. When a patient has cataracts and they come in seeing 20/25, new scripts are getting finalized and new glasses are actually making their vision worse. Techs refract in room.

Marketing: $500 off Lasik and get free designer sunglasses ($400 value). $800 off cosmetic eyelid surgery. All thru May. Biggest loser winner is Holli, Laura 2nd and Ale 3rd. Looking to add a few people to help with ideas for Visionaries 2018.

Lasik: If you talk to patient about Lasik, tell them about special and get Diana or Alex.

Office Notes – March 2018

Dr. C:
Everyone is doing a great job and working very hard. It is good to take responsibility of your position and taking control of using your initiative. For example, Nancy noticed the new storage facility and maybe we can store records there. Make suggestions to make your job better.

We are in a society where social media is increasingly important. We monitor all patient reviews and they are really important! We got a good one last month and it’s due to everyone and we appreciate it.

Everyone has been working hard on PQRS this year. We did great and we were incredibly successful.

We have a vacancy in the Lasik department. If anyone is interested in becoming a part of the Lasik team, please let Diana know. We won’t do anything for a couple weeks and will talk to everyone to see who is a good fit.

Techs – when doing testing please look at the test to make sure it makes sense. If you see one that doesn’t make sense, please repeat it. If you need help get Hannah or Megan.

When doing Lasik evals, please do the Belin Ambrosio formula on Pentacam half way down on left.

After this month, Lasik payouts will be handed out quarterly instead of monthly.

Amy:
Need a favor – over the past couple months we added a bunch of new staff. Please help them, show them and guide them.

Along with new staff – John and DJ would like to update any photos. Signup sheet is on John’s bulletin board.

Coffee/bathroom duty – if you have morning, replenish between 11:30-11:45. In evening don’t break down until 4:45. If you are using dishes or mugs, please load into dishwasher and clean up after yourself!

Phones have been updated. So far it’s been less stressful. Voicemail issue is fixed but this morning we are having an issue for setting phones when we are away at meeting or at night. If you are at the phone and it’s ringing, please pick it up. When the phone is ringing, it may say the employee’s extension but it may not be that person or may be patient. Answer appropriately.

March is the month that if you have over 80 hours of PTO you need to use the excess or lose it.

Staff Botox – we are going to change how we are doing things going forward. Megan H must draw it up and then see Amy when the payment is made. Also Megan M needs to be told to re-order.

Scribes – if you see on routing sheet patient is interested in Lasik or Bleph, tell the doctor.

When you are finished cleaning surgery equipment, please initial it so we have the right things in the kits. Do not throw them in sink as it damages them.

Cataracts: doing good and they are available during lunch.
Optical: going good.
Contacts: good.
Lasik: when you have an interested patient at the office, please come get Diana/Alex. If they don’t have time that day,  put that in the To Dos.
Oculoplastics:  put notes in To Dos as well for Megan. Come get Megan when necessary.
Front desk:  all is great.
