Office Notes June 2018

Dr. C:
Good morning, how’s everyone today? Wish everyone a happy end of Ramadan and Juneteenth, when they abolished slavery in Texas.

Getting into summertime and going to the beach. Patients still expect to be treated properly and receive full service – keep providing that care.

We hear nice compliments about office a few times a week. (Read a couple)

We are all on the same team here, please help your fellow employees (ex: if testing needed and if there are 4 techs in pod, it will make it more pleasant.)

Remember when making appointments with patients for problem, please but what the problem is such as red eye or pain.

If you don’t know the answer to a patient’s question, don’t give them an answer you are unsure about. Find out the correct answer and if they call ask about their insurance.

When we do ERG, Aetna will not pay for glaucoma only retina or optic nerve diagnosis when checking out if you notice make sure they have the correct diagnosis code.

Plaquinel long term use, use drug code and systemic disease code. Ask them why they are taking it. A word of warning – there are a million codes for lupus, etc., pick the most general one.

When putting bandage lenses on patients, they have a code and should be billed. Not applied to PRK patients.

Next month is quarter payout meeting. Check Bleph board in breakroom to see where you stand.

Amy:
July is open enrollment for 401k. If you want to make changes or if hired after June 2017 come see her for enrollment applications. Please start participation – most are very young and it’s very important and easier now than to try to play catch up.

Employee bathrooms have new signs. Do not take them down please. Clean up after yourself. Turnaround and make sure the area is clean before you leave. If patient bathrooms need stuff please help take care of it.

Techs – Quest and LabCorp, please make sure there are CPT codes and diagnosis, can go to website.

Suggestions wanting new vending machine. Prices are significantly higher on others.

Changing how we inform staff when we have to close the office. If you are not a patient in Compulink, please put yourself in with cell number/email address.

As the seasons change and it gets warmer, clothing changes and we wear shorter dresses. If you are wearing a dress/skirt, keep in mind when bending down that nothing “shows”. No strapless or spaghetti straps. Remember to dress professionally.

Reminder about PTO – these meetings are really important for passing info. Use PTO if you are sick or on vacation. If you choose not to come there is a $50 fine.

List on cabinet for office repairs in Amy’s office. Please add when you see something.

Cataracts – if you change something on IOL master you have to delete it for the next patient. For second eye make sure you put the new diagnosis code.

Optical – all good, still looking for receptionist.

Oculoplastic – been busy, doing good.

Marketing – Lasik Graduation special and Optical spring BOGO 50 through June.

Front desk – going good. Hand out earbuds to patients listening to music or playing videos loud. If you are talking on the phone with a patient to come in, let front desk know so they can set up an appointment and be more informed.

Lasik – next month is Christmas in July. We will be advertising soon. Share on Facebook $400 off each eye and 24 month interest free.

Contacts – now have a bin for charts between Brandi and Stacy.

Dry eye – going good, booked full next week. If referring to dry eye service, write on routing sheet new full eval for dry eye. Hannah is very helpful with Dry Eye and training.

Dr.T – if you write notes or ToDos to docs add your name or initials.

Office Notes May 2018

Dr. RC:
Welcome new employees Lorena (front office), Heather & Annie (techs).

Congrats to front desk employees on National Receptionist Day May9th.

Summer time is upon us and the weather is getting nice. We are all thinking about vacations. Things do calm down during the summer and we have less staff so please remember patients still deserve a stellar experience.

Another issue is time management. The biggest complaint patients have going to a doctor is the time they wait to see doctor. They are only willing to wait 15 minutes and then they get upset which makes the appointment difficult. When pts get checked in quickly and brought back on time, if they have an 8am appointment they expect to be seen at 8 and they don’t take in to account the paperwork time, etc. There are things we can’t control and the plea is that we do everything we can to speed up the process, be on time, and get them where they need to be.

Patients that have AmBetter or Envolve for medical they have to see Dr. Thornhill for very limited office visit while other doctors can see them for exams.

Plaquenil testing – if the patient is Asian do a 24-2. Really important to ask them if they have taken Tamoxifen. When patients come in write the time on sheet.

Dry Eye (Dr. BS):
Introducing 2 new things: BlephX and a tear stimulator (cost between $500-$900).

Cataracts:
Please continue to help with testing. If second eye, see who it was scheduled with the first time and get that person. If you get phone call, look at To Do and see if that person is available.

Optical:
Beth is leaving. Know anyone for full-time (Mon-Fri 8-5) or part-time (Tues, Thurs evening & Sat) positions, see Michele.

BOGO50 thru end of May. Buy one compete pair, get half off 2nd pair, even with insurance on first pair.

Oculo:
$800 of cosmetic only thru May. $400 off uppers or lowers.

Marketing: Raise of hands who uses intranet – approx. less than ½.

Lasik:
Doing great! Two specials going on – Free sunglasses ($400 value) and $500 off Lasik through May and Graduate special get $500 visa gift card with Lasik thru June.

As a reminder for Amy – do assigned coffee duty and read bathroom signs on the door. If you see that something needs to be done just do it.

Surgery Center:
Starting the remodel for front of building and Monday 2 rooms up and running now.

Techs:
Basket at Pod 2 for MRIs. Great job on refractions rooms. If have time, help testing. Remind people when transferring call it does not stay on hold very long, about 2-3 minutes and then it just hangs up if on park.
