Office Notes February 2019

Amy:
Good Morning! Like it when Dr. Carlin leads the meetings. He will be out the month of February.

Last month we were still busy and not slowing down.

What do you consider a good experience? Chik-fil-a (friendly, clean), Publix (always tells you to have a good day), Disney (so sweet and magical). Employees will be asked in their review to give suggestions for a greater CarlinVision experience. We need to continue doing it and see what we can do better!

PTO – at the end of every year the payroll company depletes everybody’s PTO. It should now be corrected. If not, let Amy know. 80 hours can be carried over at the end of March. If you have more hours, schedule PTO or you will lose it.

Starting March 2019, if you choose not to attend the meeting you will be charged $50. In order to use PTO, it must be preplanned on meeting days. You are now required to use 4 PTO Preplanned hours (24 hours in advance) instead of 1 hour. Pre-scheduled vacations are exempt.

This week we had an issue with the dishwasher. There was standing water in the bottom of the dishwasher. Repairman pulled a piece of paper out of the dishwasher hose. Please wash your dishes off before you load them in the dishwasher. It is not a commercial dishwasher and gets a lot of use. Please load your dishes – do not leave them in the sink for others.

There was also a clogged toilet. If something is broken please let Amy know and not just leave a sign. If she is not here, leave a note on her desk.

Reminder – make sure we update patient information in chart and at front desk. Not just scanned in.

When scheduling appointments each doctor sees a different amount of patients an hour. Make sure patients are spread out correctly per hour.

Diana and Alex gave presentation on Lasik March Madness referrals contest for March and April. $1000 off, $500 off per eye, 24 months no interest.

Tomorrow is Groundhog Day.

Contacts: Get name of patient so they don’t greet them blindly.

Techs: Get your scrub order in.

Office Notes January 2019

Dr. C:
Good morning – Welcome to technician Haley.

State of the office 2018 – saw 48,500 patients which is the population of Snellville and Lawrenceville combined. Up 8.5% from the previous year.

Last year – Cataracts up 9%, Lasik up 22% (most procedures since 2005), Optical down 22%, Contacts flat, Oculoplastics up 29%. Understand that this department’s success is not solely due to the department but everyone’s efforts.

Keep in mind staff mentioning to patients the things we offer here is key to success.

We are going to start offering walk in Lasik consults. Lasik is available 8-5 Monday, Wednesday, Friday and 8-6 Tuesday, Thursday. Call or take patients to Diana and Alex.

This Spring we are planning renovations in the office. Completion date for new optical displays is March 4 and will be installed soon after.

If anyone has ideas about things we can do better or any marketing ideas for Lasik please tell Diana, John or Donna.

Amy:
Back to the basics on bathroom and coffee duty. Please make sure it’s being done. Daily duties are listed in breakroom. We are going through coffee very quickly – there are directions inside the cabinet door. We are going to get new measuring cups.

February office meeting will be on Friday 2/1. Return to 2nd Fridays in March.

Your mail folder has 2019 meeting schedules for front office and technicians. Wednesday, Jan. 16th front office at 7:15 and technicians at 12:00. The Lunch ‘n Learn will be hosted by Lasik and Oculoplastics and suggest ideas on how to talk to patients about procedures. Everyone is welcome to come and ask questions and give suggestions.

Casserole Cook-off moved to Thursday, Jan. 17th.

Issues with thermostats – they are set for certain reasons and it’s throwing off the dampers. If you need to change it see Amy.

Staff arrival times – doors open at 7:40, technicians should be here at 7:50 and in Pods by 7:55. Optical is in at 7:30.

There are times when it is a very laid back culture here. Call the doctors by Dr. (last name), no nick-names, as well as staff. Patients need to be called by Mr./Mrs./Miss (first name, last name). Ex. Mr. John Smith.

Front desk has done a good job of getting IDs. Look at it if you are unsure of pronunciation and ask patient if need be.

401k open enrollment is until January 25th. See Amy to enroll or make changes.

Van with Aflac will be here February 21st.

If you are injured at work you need to see Amy and if she is not here call her. There is an orange form in the back office with instructions that tells you were to go.

Lasik: Get Diana or Alex if anyone is interested in Lasik or you have marketing suggestions.
