Office Notes October 2019

Dr. C:  Good Morning everybody. Fall is here. Planning for end of year. Last quarter makes the year. Important time and we will all be working harder.

Get patients in now. If they call for end of year, get them in sooner. Same with surgery. Or schedule after 1st of year.

Welcome technician Sabrina.

Change in cataract department. Chelsie’s last day is the 8th. Jessica M will be new counselor.

Problem with patients saying eyes are still dilated days after exam. Check bottle you are using. (1%).

Wash hands.

Visual fields – changing from 30-2 to 24-2. All doctors are aware.

Dr. Modi and Angel are doing great. If patient calls with sudden onset of floaters – send to Modi, as well as urgent diabetic and macular degeneration problems. Routine checkups still go to their regular doctor.

Let patients know about Lasik and Bleph. If you notice drooping lids ask patient if their lids are bothering them or interfering with vision. We are not selling but making patients aware. When refracting, mention Lasik.

Pick up trash on floors and seating during the day.

Dr. Modi:  If you see a family history of macular degeneration or diabetes on patient information, let them know we offer retinal services.

Dr. Thornhill:  Follow-ups for infection or surgery keep with same doctor. Difficult to help treat patient.

Dr. David Carlin:  Push follow-ups to January when possible. Cataract follow-ups too unless 2nd eye.

Dr. Willman:  Thank you to Chelsie for all her help.

Dr. Bennett-Sims:   New dry survey in the pod waiting areas. Have a comprehensive dry eye brochure if patient needs more information.

Amy:  If you changed address or phone number let her know for W-2 purposes.

Will talk about health insurance/401K enrollment next month.

Still looking for technicians, front desk and optical staff.

Coffee/bathroom duties – Enisa and Cathy stock at 6:30. AM: refresh area & counters at 11:30-12:00. Get help if needed. PM: Do not break down before 4:30 including staff coffee & counters. If coffee/snacks run out during the day, AM & PM should replenish. Check 3x a day. Same for bathrooms.

Karen to get more bowls for mints.

Solution Reach – must update recall at checkout. DO NOY add 2nd date per Laura.

DO NOT leave patient info up on screen. Log out at end of day.

Will be a doctor schedule change at end of year.

Next month office meeting on 11/8.

Scott:  Chili Cook-off on the 16th. Need more sides/toppings.

Lasik:  New end of year special coming in November. Get us if patient wants to hear more about Lasik.

Optical:  Good but could be better. Doctors please mention lens options to help sales. We cannot remove scratches.

Oculoplastics:  Special starting in November.

Office Notes September 2019

Dr. C:
Morning! Happy Friday the 13th.

Welcome technicians Vanessa and Lexie. We are still hiring for front office and technicians.

Explained to new staff where the name “CarlinVision” came from.

Introducing our retina specialist Dr. Modi and thanks to all for giving her a warm welcome. She will do medical treatments, such as intravitreal injections, for macular degeneration and diabetic retinopathy patients. Angel will be the Retina Coordinator. Dr. Modi will see patients we usually send to Georgia Retina.

Techs – before bringing patients in room make sure it is clean and slideshow on screen. Clean slit lamp while patient is in room.

Techs – look at chart first for any testing needed.

Techs – when reading glasses make sure power matches. Ask for help if needed.

Scribes – be sure when doctor is refracting in room you record the final acuity into chart.

Encourage everyone to mention Bleph and Lasik and call departments if patient is interested.

Thanks to Jessica for all her work when Allie was on maternity leave.

Amy:
Be encouraging and helpful to new staff. New staff ask for help if needed.

Make sure you have right patient – ask for DOB.

Put lids back on fluorescein bottles and make sure medical tabs are not left empty.

All staff wear name tags or lab coats with name.

Front desk – if patient is seen for traffic accident, bill medical insurance first.

Will start planning for Christmas party. Show of hands showed more for venue in Atlanta than local.

Sign your name on office meeting sheet. Donna (DJ) puts on counter before meeting.

Use the Kudos email (kudos@carlinvision.com) to give a shout out to your fellow employees which will be read at the next office meeting. This month Alex sent kudos for Elle, Katrina, Millie, Angel and Dr. Modi.

Cataracts:  For evals, check plan, if patient had complete exam and dilated prior, don’t have to repeat.

Optical:  All good.

Contacts:  To send ToDos use CL in the drop down menu. ToDos have been in wrong patient chart. Put all patients in the fit room.

Marketing:  Been busy with Dr. Modi’s marketing and forms. Lasik special $1000 off thru Sept. Megan’s vision posters for Bleph.

Lasik:  Call us when patient interested in Lasik.

Retina:  Everything is new and happy to help with anything you need. ToDos go to AMS.

Dry Eye:  Welcome back Allie. Will have available a dry eye survey in Pod waiting areas.

Scott:  Upcoming events – Chili Cook-off (Oct), Thanksgiving lunch (Nov), Christmas Party, mini tree decorating contest, office decorating party w/wine & pizza, annual bake-off (Dec). Outside event ideas – paint party, cookout at Scott’s house.
