Amy:
Dr. C is out of office for month of February.

MIPS (new measures for routing sheet – see handout). Measure 1 changed, measures 12 & 14 no change, measure 19 changed, measures 110 & 111 doing again every exam, measures 130 & 141 no change, measure 117 no change, measure 225 changed. Do every visit. Ignore expected outcome.

Use MIPS sticker on all routing sheets until new routing sheets ordered.

Check that patients mark on medical history form “Do you wear glasses or contacts?” and if they want a Lasik eval. Scan medical history form into charts.

Botox – bill with NDC#. See Amy – use open vials first.

Remember to use your PTO before end of March. You can carry over 80 hours only. After 10 years you accrue 6.15 hours per pay period.

Calling in – text Amy between 7:00-7:30. Techs can also text Millie. Optical text Lisa, James or Michele. All employees call office private line at 8:00.

Purchasing products/procedures – you are responsible to pay at time of purchase.

Come to work groomed and ready to work. No hair brushing, putting on make-up or nail cutting/filing in pods.

Patient called Amy regarding her CL exam. Came in and was asked what contacts she wore? Tell patients to bring CL box as evidence of what they wear.

Techs who filled out immunization forms – see Amy, need to redo. Encrypted email will be sent to employee with their email address.

Welcome Cynthia, our new Optical Receptionist.

Dr. David Carlin: Push Blephs. Get ideas from techs that do good job promoting.

Dr. Bennett-Sims:

Office Notes January 2020

Dr. C:
Morning! Everyone recover from December? Welcome Carmen and Brynna (technicians).

State of the office – December 2019 biggest month ever had in 40+ years! Saw 49,640 patients (↑ 2%), Contacts (↑ 8%), Cataracts (↓ 2%), Oculoplastics (↓ 6%), Lasik (↓ 18%), New patients (↓ 11%). Optical (↑ 17%), Optical expenses (↓ 8%), Surgical (↓ 1%), Collection rate (98.74%), Expenses (↑ 5%). OVERALL we did very well.

Milestone – 9,000 procedures in 2019.

New Year – collect new Medicare deductible $198.

2020 goals – focus on better job performance, perfection professionally and personally.

Dr. Tyler update – surgery at Mayo Clinic went well. Removed part of tongue, more superficial. No graft needed. Routine check of lymph nodes in neck negative. Positive sign. She is home now.

Cutting reimbursements. Significant in cataracts. $400/procedure.

Watch filing to right insurance (medical/vision). Ex: cataract eval is medical, eye check is vision. Will re-evaluate refraction letter.

Lax on eating/drinking in office in front of patients. Keep under the Pods. Snack ok but NO meals. Keep breakroom clean – ant issue.

Doing Biggest Loser contest again. Starts Monday, Jan. 13th. $10 entry fee with weigh-in. Person with most % weight loss wins the pot.
