Dr. C:  How’s everyone tonight?
Welcome new employees Courtney & Christina (concierges) and Grayson (front office).

Still in COVID-19. There have been 200,000 deaths in country – so this is real. Be careful! Wear mask, wash hands, and social distance. Be honest when exposed. Keep others safe. Tell Amy if you have symptoms.

Superior customer service is what separates from the rest. We are unique/special. Keep our patients happy.

Do not want patients waiting in office. Need to be quick and efficient. Fill all doctor slots. We have a wait list. Let patients know we will get them in soon.

Getting slack in getting patients back to Pods. Waiting for testing. Reschedule if necessary.

MIPS – when coding fill out all code fields. Scribes make sure you are coding all procedures.

OPTOS – can be coded and paid for.

Dr. Bennett-Sims:  Grab Allie for Dry Eye Service.

Dr. Willman: Cautery iron – don’t just cap and put in sharps container. Break or cut off tip before disposing. Can cause a fire. Save batteries if desired.

Amy:  Follow template when scheduling. If you have to insert a patient see Amy.

Do not tell 4:00 appointment to come in at 3:00.

Any limited slot open you can schedule a follow-up or CEX. Fill any open slots for all doctors.

Survey on file cabinet by Amy to give opinion on meeting time. October/November meetings will be at 7pm.

Start using you PTO. Everyone needs a break. Will do Christmas a bit different to give all a chance for time off.

Be on time in the morning and lunch. Lunch is an hour and no more.

Cataract: Megan H – Doing well.

Oculoplastics:  Brandi – settling in, refer patients to her for eyelids. Working on a Winter special.

Lasik:  Diana – Super busy. Trying to keep schedule full. Alex – Virtual exams picking up. Make sure you get email address to her.

Optical:  James – Been busy.

Contacts:  Let us schedule CL exams & fits.

Tech on call:  Lottie – Send Rx to correct pharmacy and make sure it is for 90-day supply if prescribed.

Patients are coming an hour late putting everyone behind per Michaela. How late before we should reschedule? Per Dr. C we want to be on time so patients need to be on time.

Office Notes March 2020

Dr. C:
Amy is out so will do meeting myself.

Welcome Ava to the front office.

Coronavirus pandemic. Fever, respiratory problems, spreading rapidly. Can cause conjunctivitis.

Appointment reminders – add to please reschedule if have fever, feeling sick, or traveled out of country in past 2 weeks.

Ask at front desk if patient is feeling sick, fever. Yes, then reschedule.

Eye emergency with symptoms – see patient, notify doc, give patient a mask. Gown, mask & gloves for staff.

Preventative measures – wash hands vigorously for 20 sec with soap & water. Also can use hand sanitizer. Keep hands away from face. Wipe down surfaces with chlorox wipes, especially surfaces patients touch.

If staff sick – stay home.

If patient is sick and wants to come – send call to tech for triage.

If doc needs to block schedule, tell Karen/Amy to do.

RESTART computers at night for updates and video slides to work.

Techs – let patients waiting know when we are running behind.

Premature babies on oxygen can affect the retina, which may not develop normally. Specialized exams – we do not do here. We can refer.

Fortunate we have Spanish speaking staff but still tell patient to bring their interpreter.

Visual fields – screening  for eyelids/ptosis and full field. When in doubt as doc as to which.

Lasik:  shout-outs for gift card – DJ, Lorena, Miranda, Brynna.

Cataracts:   evals take a while, expedite if possible.

Oculoplastics:  special thru April, $600 off ($150 off per lid).

Optical:  going good, after we close patients knock on doors or slip in while patients are walking out. Idea: lock door both ways and walk patient out.

Retina:  injection patients refer to Angel to schedule.

Dry Eye:  Keep Lipiflow up, patients are happy. Send to Allie.

Scan any paperwork patient brings in to chart.

Optos – problem with cleanliness. Clean appropriately – watch for water spots/hair on glass. Wipe with no spray solution.
