Office Notes January 2021

Dr. C:
Last year was challenging – closed for 2 months dealing with COVID.
Pretty decent year considering: Lasik ↑14.5%, Optical ↑1%, Cataract ↓17%, Contacts ↓11%, Oculoplastics ↓45%. Saw 40,424 patients ↓19%.

New year will bring new challenges. Looking to add another doctor. Will be a year of growth.

Greatly regret Laura and Cathy are leaving us. Laura’s last day was the 22nd, Cathy has agreed to stay on until 2/5 to train. Robyn is taking Cathy’s job, Katie (from surgery center) is taking Laura’s job. Lottie will do pre-certs. Wish them well in their new endeavors.

We are hiring concierges, front office, technicians, optical receptionist and Oculoplastics surgical coordinator. If anyone is interested see Amy. Tell anyone you know who may be interested in working at CarlinVision. Share the facebook post.

40 COVID vaccines have been given out. 2nd vaccine will be on 2/11 or 12. Still a few more to get 1st vaccine who had to wait because of previous vaccine. If still interested let Amy know asap. If you know of a healthcare worker or family member over 65 who wants a vaccine tell Amy and if any doses are left they can receive one.

If sick let Amy know so we can protect all to exposure.

Techs doing tests do BOTH eyes.

Chief complaint is the wait time. Going back to earlier schedule. Reinstate sense of urgency when moving patients thru practice.

Dr. DC:  Thank you for the last year. Awesome job, greatly appreciated.

Dr. Tyler:  Do not leave previous patient’s chart up in exam room.

Dr. Willman:  Let’s hope for a smoother 2021.

Amy:
Bizarre year. Never seen anything like it. Appreciate your hard work.

Follow the template. Do not change spots.

401K enrollment/changes need to be in before Friday, the 22nd. Go the John Hancock site to plan for your retirement!

Calling in! Step 1: If out (not for COVID) call your supervisor between 7:00-7:30. Step 2: Call the office at 8:00. Upon return fill out PTO form and put in Amy’s box.

PTO policy will be put into all employee mail folders. Manual is in Amy’s office and also on the CarlinVision intranet. *It is your responsibility to manage your PTO! Any hours remaining over 80 must be used before end of March.

Holiday/PTO hours do not count against overtime. Use full hours scheduled.

Do your scheduled bathroom duties – getting slack.

Megan: Bleph referrals contest going on thru February.

Lasik:  Luck with AT&T employees – get the word out!

Optical:   Cynthia training for other optical duties. Looking for an Optical receptionist.

Dry Eye:  Do not use Lipiflow room for testing. Send referrals to Allie.

Retina/contacts:  Doing well.

Lottie:  Watch Rx prescriptions – wrong instructions/dosage being sent in.

Office Notes December 2020

Dr. C:
Welcome Natalie (concierge). Hope you enjoy working here.

COVID – 300,000 deaths now. Try to keep everyone safe. Vaccines are arriving across the country. If a staff member gets or is exposed to COVID name will be posted on the board, Team CarlinVision page, and intranet. If not ok with that, see Amy. She will contact those who came in contact with them individually.

December is stressful, appreciate the extra effort and hours. Be kind to patients and staff. Starting at 7:30 several days, back to 8:00 second week in January.

Abigail passed her COA. Congratulations!!

Techs – be careful uploading tests, etc. Make sure you get BOTH eyes with topography, OPTOS, OCT. See anything abnormal doing OPTOS, not just center, take a picture and upload in records for doctor.

Medical insurance – you should have your cards by now, if not see Amy. Dental is same card.

401K open enrollment is January 2021. Signs will be posted soon. If working Dec. 2019 or earlier you are eligible. Want to stress to those who haven’t participated to think about your future and put funds away for retirement.

Starting January we will start departmental meetings and tech lunch ‘n learns again. Front Office scheduled for Jan. 5th and tech lunch scheduled for Jan. 12th.

Santa is coming to office next week delivering packages of goodies to those that have been good! (Just kidding – for all!)

Lasik: Evals not getting Pentacams. If you need help get Alex.

Cataracts:  Surgery going well – booked until end of year.

Oculoplastics: Special going well. Refer patients to Brandi. Allie and Sabrina leading in Bleph referral contest.

Optical: Busy, appreciate your help. Concierges have other little duties besides just signing in optical patients.

Contacts: All good.

Dry Eye: Keep those referrals coming!

Retina: Techs doing OPTOS – abnormal do a 5-point.

Testing: RxPlus pharmacy in Lawrenceville can help patients Durezol or any other meds if having trouble with cost, etc. Free mail delivery too.
