Welcome new employees Nicole (front desk) and Morgan (technician).

With a new year it brings new beginnings – time to step back and see what we can do better this year.

New Year brings new deductibles. Make sure you are collecting them.

State of the Practice: How we did last year!
We had a good year. Saw approx. 45,000 patients in 2017, more than we have ever seen before. Revenues were up and so did expenses. Profits were up a little. Cataracts, Lasik and Optical were same as last year. Oculoplastics was down. Contact lenses were up 11% – they were our bright spot!

Practice overall is doing well. Getting a lot of positive feedback and good reviews. Please keep up the good work – we appreciate it.

We will be doing some sprucing up of the office internally and externally. Some carpet needs to be replaced and redoing some of the work from the flood. If you notice things that need to be fixed please let Amy know as she is keeping a list. Been about 10 years already so we need to get this place cleaned and fixed up.

Kiosks are going away as well as the software.

Goal this year is to increase refractive department. Alex has been promoted to Assistant Vision Correction Facilitator. When people are interested in refractive procedures they do not have to have a CEX before they have their procedure.

Employee purchase policy: Optical – 50% off for spouse, children under 21, and parents, Contacts – immediate family at cost and extended family 20% off. If using benefits you must pay immediately and in Optical we only hold frames for a week. Optical pays a shipping charge on things ordered, so if you change your mind please be aware of that.

Amy: New things we are doing this year – rolled out a new text, email, and voice reminder/recall platform Solutionreach. Patients can text back so Ale’ and Karen can respond. There will be some trial and error as we get started.

New phone system implemented beginning of Feb. Phone calls will be put in a que and no longer ring non-stop.

Donna (DJ) has a list on her desk for IT issues that are not urgent. Ask her if you don’t know how to explain it. IT comes twice a month.

Coffee and bathroom duty – please do your assigned duties, check the list in the breakroom. If ANY staff sees something that needs to be filled, cleaned or replaced, please help out.

The breakroom is a wreck after lunch time. Pick your stuff up and throw it away. It is YOUR responsibly to keep it clean. Take your lunch boxes out of fridge daily so Karen doesn’t have to throw out old food.

We’ve noticed there are some questions on how to fax. Directions are posted above and on the machine. Use a cover sheet and put your name on it so we know who confirmation goes to.

With the beginning of the year payroll takes everyone’s PTO away. We have to go back in and correct it. It will be correct on next paycheck. Check your paystub and make sure everything is correct. Also go to socialsecurity.gov and check your earnings.

We changed the process on checking the patients in. We only use A.

Clock in at your own work station, not at Nancy or Robin’s desk.

Sign in for every office meeting at front desk so Amy knows who attended.

Diana:  excited for upcoming year.

Chelsie:  Any techs doing testing please input information carefully. Schedulers change to CAT EVAL.

Hannah: Get Hannah to talk about Dry Eye if doctor oks. Per Dr. C there is now a dry eye drop treatment where we use patient’s blood to make customized drops. It has been an issue to get it done but now the GA eye bank is partnering with some labs. The rep will be here at noon today if anyone is interested.

Office Notes – December 2017

Dr.RC:
Good morning! Will make meeting short for time to relax.

Start of the busy season with only a month to go. Appointments are already full to the end of the year. We are in the over flow mode with doctors working extra hours, some starting earlier. Patients want to be seen before end of the year for insurance purposes.

When you get tired and cranky realize everyone gets tired and cranky.

Christmas party at the Standard Club Dec. 8th at 7pm. Shuttle leaving office at 5:45. If you changed your mind about riding the shuttle let Amy know today. If driving when you get to the gate tell them you are there for an event.

Noticed bathrooms and office areas are getting messier. We need to spruce up the office so if you notice anything needing repair let Amy know.

Kathy has received a promotion and will now be our front office supervisor.

401k open enrollment will be next. Amy will have books.

Christmas trees are up and thank you to everyone that helped.

Mini Christmas tree contest – each area decorates one, pictures will be taken Friday, Dec. 8th.

Gift exchange for Christmas party – fill out three wishes with your name and put in breakroom box by end of day Friday, Dec. 1st. Scott will come around for you to draw from box. $20 gift.

Techs- when drawing up injections write NDC number on routing sheet, need it for billing. Wear bleph insurance buttons to the end of the year.

Home page is intranet page- announcements and policies are available with an updated employee handbook condensed for the intranet.

Office attire policy – No leggings, denim jeans, or colored jeans. We need to look professional and presentable. Keep scrubs looking nice.

When closing if everyone can help and make sure the coffee pots are turned off. A pot was left on Saturday.

Lasik – need more patients for December. Come get Diana. $800 off now.

Cataracts – there are still surgery spots available for the end of the year. We will get them in if you don’t want to schedule. Send them to cataracts.

Optical – month of December patients are getting mad about waiting for prescriptions. When possible have techs give them their prescriptions.

Bleph – lids special thru December, $250 off per lid.

Megan H – need 4 tech volunteers to work with Dr. Tyler Dec. 16th.
