Office Notes May 2018

Dr. RC:
Welcome new employees Lorena (front office), Heather & Annie (techs).

Congrats to front desk employees on National Receptionist Day May9th.

Summer time is upon us and the weather is getting nice. We are all thinking about vacations. Things do calm down during the summer and we have less staff so please remember patients still deserve a stellar experience.

Another issue is time management. The biggest complaint patients have going to a doctor is the time they wait to see doctor. They are only willing to wait 15 minutes and then they get upset which makes the appointment difficult. When pts get checked in quickly and brought back on time, if they have an 8am appointment they expect to be seen at 8 and they don’t take in to account the paperwork time, etc. There are things we can’t control and the plea is that we do everything we can to speed up the process, be on time, and get them where they need to be.

Patients that have AmBetter or Envolve for medical they have to see Dr. Thornhill for very limited office visit while other doctors can see them for exams.

Plaquenil testing – if the patient is Asian do a 24-2. Really important to ask them if they have taken Tamoxifen. When patients come in write the time on sheet.

Dry Eye (Dr. BS):
Introducing 2 new things: BlephX and a tear stimulator (cost between $500-$900).

Cataracts:
Please continue to help with testing. If second eye, see who it was scheduled with the first time and get that person. If you get phone call, look at To Do and see if that person is available.

Optical:
Beth is leaving. Know anyone for full-time (Mon-Fri 8-5) or part-time (Tues, Thurs evening & Sat) positions, see Michele.

BOGO50 thru end of May. Buy one compete pair, get half off 2nd pair, even with insurance on first pair.

Oculo:
$800 of cosmetic only thru May. $400 off uppers or lowers.

Marketing: Raise of hands who uses intranet – approx. less than ½.

Lasik:
Doing great! Two specials going on – Free sunglasses ($400 value) and $500 off Lasik through May and Graduate special get $500 visa gift card with Lasik thru June.

As a reminder for Amy – do assigned coffee duty and read bathroom signs on the door. If you see that something needs to be done just do it.

Surgery Center:
Starting the remodel for front of building and Monday 2 rooms up and running now.

Techs:
Basket at Pod 2 for MRIs. Great job on refractions rooms. If have time, help testing. Remind people when transferring call it does not stay on hold very long, about 2-3 minutes and then it just hangs up if on park.

Office Notes – April 2018

Dr. C:
Good morning! Sorry the doctors meeting ran over and we are starting late.

Welcome technician Kristine.

He built this practice on being nice to people with a home time touch, welcoming everyone in a family like atmosphere. They get a smile when checking in. Make it the best experience for the patients and always be accommodating.

We are the largest and most successful practice in the area. He is very appreciative.

We have had 2 not acceptable situations this month. Had a patient come in who had a surgery schedule on a Monday and it had to be rescheduled, mistakenly with another doctor. Another came in on Saturday and was yelling doors weren’t open at 8:00. There appointment was actually on Friday.

Your job is not to be abused by patients. If a patient starts yelling or being abusive or otherwise making you uncomfortable, get Amy or the doctor and they will take care of it for you.

We will see kids, newborns and up, and we will see anyone for any reason.

Please be careful when doing follow ups and make sure they are with the correct doctor. If a patient had surgery and they happen to be seen by another doctor for follow up because they weren’t there, they need to go back to the surgery doctor.

Please be careful talking in pods/front desk/optical when there are patients in rooms/waiting areas. Conversations can be heard.

Been having an issue with the Botox coding and we are going to talk about it next time.

We will be renovating the surgery center’s facade to look more like this office. We are waiting for the lawsuit to finish on the carpet and then we will be refreshing this office.

We do inlays for people who do not want to wear reading classes. Those patients have to be on the brand name meds, no generics.

Need Lasik patients in May. Techs please bring it up to patients and do a pentacam while dilating. Put sticky note on the chart when patients want a Lasik eval.

Payouts will be done in July.

Dr.BS: Dry eye is doing well but also need some new patients.

Dr.T: Make sure follow up is going to original doctor. Patients that come in for a CL issue please let contacts schedule appointment with him.

Amy: Today we are going to start something new. We are going to separate Patient Info and Med History forms into 2 separate sheets. Please take from patient and scan it.

Medicare is changing their cards. We should see them in June for Georgia. Start asking in May.

IT issues – if you see anything that is working incorrectly, please let John, Donna, or Amy know.

May 3rd we are having the Tex’s Taco truck which will be serving from 11:45 to 1:15.

Techs – just switched to using an orange highlighter for routing sheet. Please only use orange, no other colors or pens.

MRI and CT scans – please make sure the order is scanned in the chart and give it to Lottie.

Remember to call patients to back with Mr or Mrs and look at the photo id.

Employee perks – cost for procedure is listed on the CarlinVision intranet. You must pay at time of service for anything. Botox is $6 a unit.

Cataracts: Please make sure you put the meds in the tab. Make sure when scheduling a patient for testing when we have for late night or Saturday for testing

Optical: (Michele) Check in and check out it is really loud in the evening hours. Please watch and be professional. When a patient has cataracts and they come in seeing 20/25, new scripts are getting finalized and new glasses are actually making their vision worse. Techs refract in room.

Marketing: $500 off Lasik and get free designer sunglasses ($400 value). $800 off cosmetic eyelid surgery. All thru May. Biggest loser winner is Holli, Laura 2nd and Ale 3rd. Looking to add a few people to help with ideas for Visionaries 2018.

Lasik: If you talk to patient about Lasik, tell them about special and get Diana or Alex.
