Office Notes January 2019

Dr. C:
Good morning – Welcome to technician Haley.

State of the office 2018 – saw 48,500 patients which is the population of Snellville and Lawrenceville combined. Up 8.5% from the previous year.

Last year – Cataracts up 9%, Lasik up 22% (most procedures since 2005), Optical down 22%, Contacts flat, Oculoplastics up 29%. Understand that this department’s success is not solely due to the department but everyone’s efforts.

Keep in mind staff mentioning to patients the things we offer here is key to success.

We are going to start offering walk in Lasik consults. Lasik is available 8-5 Monday, Wednesday, Friday and 8-6 Tuesday, Thursday. Call or take patients to Diana and Alex.

This Spring we are planning renovations in the office. Completion date for new optical displays is March 4 and will be installed soon after.

If anyone has ideas about things we can do better or any marketing ideas for Lasik please tell Diana, John or Donna.

Amy:
Back to the basics on bathroom and coffee duty. Please make sure it’s being done. Daily duties are listed in breakroom. We are going through coffee very quickly – there are directions inside the cabinet door. We are going to get new measuring cups.

February office meeting will be on Friday 2/1. Return to 2nd Fridays in March.

Your mail folder has 2019 meeting schedules for front office and technicians. Wednesday, Jan. 16th front office at 7:15 and technicians at 12:00. The Lunch ‘n Learn will be hosted by Lasik and Oculoplastics and suggest ideas on how to talk to patients about procedures. Everyone is welcome to come and ask questions and give suggestions.

Casserole Cook-off moved to Thursday, Jan. 17th.

Issues with thermostats – they are set for certain reasons and it’s throwing off the dampers. If you need to change it see Amy.

Staff arrival times – doors open at 7:40, technicians should be here at 7:50 and in Pods by 7:55. Optical is in at 7:30.

There are times when it is a very laid back culture here. Call the doctors by Dr. (last name), no nick-names, as well as staff. Patients need to be called by Mr./Mrs./Miss (first name, last name). Ex. Mr. John Smith.

Front desk has done a good job of getting IDs. Look at it if you are unsure of pronunciation and ask patient if need be.

401k open enrollment is until January 25th. See Amy to enroll or make changes.

Van with Aflac will be here February 21st.

If you are injured at work you need to see Amy and if she is not here call her. There is an orange form in the back office with instructions that tells you were to go.

Lasik: Get Diana or Alex if anyone is interested in Lasik or you have marketing suggestions.

Office Notes December 2018

Dr. C: Good Morning! Welcome new technicians Selena and Kimberly.

There will be a 401K talk later in meeting.

It’s a crabby time of year. We are doing a good job trying to keep up with a good attitude.

Make every effort to get patients in who want an appointment. We are a service organization built on “Advanced eye care with a home-town touch.” On business side we lose patients if not happy and they go elsewhere.

Scheduling – note that doctors have maximum number of patients per hour, schedule accordingly.

New equipment – Optos maps entire retina, if pathology insurance pays. IOL Master for cataract surgery determines best lens, curvature, etc.

Christmas Party 7:00 at Little Gardens tonight.

Dr. Willman:
Janna’s last day. Just got engaged and wedding May 11th. Gift of wine. Joy is the Journey!

Dr. Bennett-Sims:
Dry eye is doing very well.  Allie wants to grow service more. Do shirmer test.

Amy:
Medicare deduction going up in January from $183 to $185.

Robyn needs pre-cert help. Ask patient if insurance has changed. After the 1st ask every patient about insurance.

Open enrollment for 401K in January. See Amy for forms to enroll or change contributions. Note: profit sharing also invested even if not contributing to 401K.

Lasik:
$800 off ($400 off per eye) special doing well, good to end of month.

Cataracts:
Surgery slots still available. Let patients know option of mono after cataract surgery if they had before. Note in chart.

Oculoplastics:
$800 off ($200 off per lid) special still running through end of year. Surgery spots open.

Contacts:
Make sure you get Ks and acuity.

Optical:
BOGO50 special through end of year.
