Dr. C:  No new hires – still looking for front office, techs, administration positions.

Conversation with Thomas Eye Group on increasing value of their practice and revenue. We are centered on patient care, not revenue. Different focus – always the patient.

A shout out to our concierges who are doing a great job. Thank you Michaela, Courtney & Kaitlin. They are the 1st smiling faces our patients see.

Want to increase usage of LipiFlow & BlephX. Doctors can now prescribe treatment without going thru Dry Eye. Train more techs on LipiScan.

Dr. DC:  Word of caution on speeding thru school zones in area – they are monitoring. Per Amy watch undivided highways also.

Dr. BS:  Allergy season aggravates dry eye. OTC drops recommendation – Pataday. Focusing on Sjrögren’s also.

Dr. W:  Call back on Betimol, change to Timolol. Episodes of patients at end of exam asking what about testing for Plaquenil. (Not part of routine exam) Should catch on med list. Schedulers – if patient referred for a problem or calls in for a problem, not a routine exam.

Dr. M:  Business is ramping up. Added ½ day on Friday. If Retina refers patient for cataracts, send to cataract dept. to schedule.

Amy:  When applying with CareCredit for patient ask if they want authorized users added.

CarlinVision cloth masks are available in Donna’s office to wear over medical mask.

Breakroom is for quick drink break, get in and out. No hanging in groups. Safety issue. No food or drink in pods and patient areas. Remove cups on counter at end of day. Make coffee and clean up if needed. If you didn’t drive here and need a place to safely eat your lunch see Amy.

While doing payroll noticed arrival times. Make sure you are clocked in at your scheduled time.

Received email from patient Natalie Hartwell who stated she was a problem patient but thanked Brandi for her great customer service on getting her a replacement contact lens.

Megan (surgery):  Doing well. Winners of the Bleph contest are Bree & Michaela who receive a $50 gift card to TJMaxx. Full list will be in breakroom.

Alex (Lasik):  $400 sunglass special continues thru May.

James (Optical):  Docs please don’t tell patients we can do something in optical that we can’t, ex: buff out scratches. Send them to us so we can find a solution.

Troy (Optical):  Thank you Dr. C for your comment focusing on patient care.

Angel (Retina):  Shout out to the Retina team and those who helped. Thank you.

Office Notes March 2021

Dr. C:  Welcome Michaela and Kaitlin (concierges) and Destiny (tech).

COVID – people are getting vaccinated but it is not over. We can’t have a surge or the variants. Not time to change our restrictions in office. We have high risk patients coming in. Wear masks! N95 masks are available those who want one. Cloth masks if you want to double mask – see Donna “DJ”.

Will be training on new OCT as well as LipiFlow.

Patients coming in without filling out paperwork online backs up the front desk. Encourage online registration. Get charts up first for those who do not need paperwork filled out.

When making appointments for a doc make sure he/she will be in the office on that day. If doc is not there that day it will default to next doc. May not be one the patient wants to see.

Referred patients sent in for a problem will be a medical visit. Eye insurance will not apply. Cataract is a medical exam.

Get more referrals in for Lasik and Bleph.

Dr. BS:  Make sure small procedures are billed properly.

Amy:  Billing issue with fundus photos. Have some retinopathy. Watch codes.

No earbuds in pods or front office. No facetime/snapchat – could violate HIPAA.

Wrapping up reviews this month.

Megan:   Put IOL under correct doc. When scheduling evals have dept put on surgical sched and/or send ToDo. Extending Oculo referral contest thru March. Referral is still $30.

Lasik:  New employees come visit Lasik when you get some time so they tell you about it and how to talk to patients. Lasik evals can be done that day if patient asks.

Optical:  Want to give a shout out to Angel who goes above and beyond when helping.

Contacts, Retina:  All good.

Dry Eye:  Techs Heather and Erin heading up dept. They have a great LipiFlow video to show patients.

Lottie:  Aetna Medicare make sure it is due to blurry, etc. vision for cataract surgery precert.

Hannah:  Set up a private facebook group for CV techs. Educational purposes.
